Since the majority of campers in the Southwestern’s Summer Music Camp are campers under the age of 18, we understand that there are many concerns about sending your camper to Southwestern for a week.

To provide answers to many common questions related to summer camp operation and activities, we have provided links to pertinent information for parents who wish to know more about the experiences that their camper will have at camp. Please click on the questions below to view the answers.

  • What is the refund policy?

    Cancellation Prior to the First Day of Camp:

    Campers or parents who cancel registration by 3:00pm on the Friday prior to the start of camp are eligible to receive a full refund of camp tuition minus the non-refundable deposit. Please call the camp office by this date if you must cancel your registration and would like a refund. You can expect your refund in two to four weeks after cancellation.

    Cancellation Following the Beginning of Camp:

    Due to the advance deadline for room and board reports to the Seminary Host, those cancelling registration on or after the first day of camp will not be eligible for a refund.

  • How do I contact my camper?

    If you need to contact your camper, you may call the camp office at (817) 923-1921 x3110 or write to FDewysockie@swbts.edu between the hours of 8:00am and 5:00pm. Our administrative assistant will deliver the message to the counselor who supervises your camper. In the event of an emergency after business hours, you may call campus security at (817) 923-1921 X4357. Campus Security is not far away from any camper at any given moment. We are proud to announce that we offer 24/7 security protection. We discourage the use of cell phones during rehearsals, lessons and class sessions. Campers will be able to use their cell phones during meals and free time. Campers may not make personal calls from the camp office.

  • How do I send mail to my camper?

    Letters and packages may be sent to campers care of the camp office.

    Most packages require a two-day delivery period. Mail sent during the latter part of the week may not arrive until the following Monday. The Office of Summer Music Camps will not be responsible for returning packages delivered following the conclusion of a camp.

  • When is the final concert of recital?

    Camp will conclude with a FINAL FRIDAY RECITAL showcasing campers' musical preparation throughout the week of lessons and rehearsals. Parents, family, and friends are invited to attend. The FINAL FRIDAY RECITAL will take place in Reynolds Auditorium located in Cowden Hall. .

  • Is parking available when I arrive on campus?

    During the summer there is ample parking on campus. All participants who are driving to camp must report their vehicle to the camp office and obtain a temporary parking permit. Parking information will be available upon registration on the first day of camp. Parking will be open to the public on Friday when family and friends arrive for the final Friday recital; however, parking regulations are in effect otherwise. For campus maps, Click Here.   • What my child must arrive late or leave early?

    We understand that a camp participant may be required to leave for circumstances related to illness or family emergency. In the case that a camper is a minor and must leave the camp, a parent or guardian must notify the camp office at (817) 923-1921 x3110. The counseling staff will then be notified, and we will provide assistance to the student in making arrangements for departure.

    If a camper will be arriving late to the camp, please notify the camp office in advance as of the exact time we can expect the camper to arrive.

  • Can I send my camper to camp a day early? Can my camper stay an extra night following the camp?

    Yes and no.

    Yes. For those students traveling outside the metroplex the dormitories will be open on the Sunday evening prior to camp. The dormitories will be open for arriving campers beginning at 6:00pm. The dormitory doors are locked from 6:00pm – 7:00am Monday – Friday and from 6:00pm Friday – 7:00am Monday. A code will be provided to each camper to enter the building. Camp counselors will be on site to check campers into the dormitories.

    No. Staff will not be available to supervise students following the conclusion of camp. Seminary dormitories will not accommodate late departures. Please make travel arrangements so that your camper leaves at the conclusion of the camp on Friday.

  • When should my camper be picked up on the last day of camp?

    Campers will be dismissed from camp at the conclusion of the FINAL FRIDAY RECITAL and RECEPTION on Friday afternoon.
